Why it exists

Stop rebuilding the same spreadsheets on every job

The problem

Most QSs end up rebuilding the same valuation spreadsheet on every job, or inheriting one with broken formulas and a retention calculation nobody quite trusts. Payment notices go out late or say too little, variations are tracked in three different places, and off-site materials get paid for without the paperwork to back them up.

The solution

One consistent set of documents that follows the JCT payment cycle, from application to final account.

  • Working formulas, not just layouts: retention, VAT and amount in words calculated for you
  • Hard to break: yellow inputs, locked grey formulas (no password)
  • See it working first: every template has BLANK and EXAMPLE versions
  • Plain-English guidance on notices and vesting certificates
  • Print-ready on A4

What it does

Before you pay for materials that are still in a supplier's yard, you want evidence that they exist, are set aside for your project and will become the Employer's once paid for. This certificate records exactly that on one signed document. The total carries straight to the "materials off site" line of the Interim Valuation Certificate.

What's included

  • Excel BLANK + EXAMPLE (with Guidance sheet)
  • Word BLANK + EXAMPLE (with guidance page)
  • PDF previews of both examples, plus a Read Me with the licence

Key features

  • Supplier, storage location and bay details
  • Itemised schedule with identification marks, quantities and calculated values
  • Six Yes/No confirmations, with a warning if any is "No"
  • Insurance and optional bond fields
  • Signatures for supplier, Contractor and Employer / CA
Whether off-site materials can be paid for depends on your contract. Most JCT forms limit it to listed items and set conditions. Check the off-site materials provisions in your own contract. Not legal advice.

FAQs

Questions before you buy

Which contracts do the templates suit?

JCT contracts, including Standard Building, Intermediate, Minor Works and Design and Build forms (2024 and 2016 editions). Clause boxes are left for you to complete from your own contract. Contract information relates to JCT contracts only.

Do the templates contain JCT contract wording?

No. All the wording is original and refers only to contract sections and clause numbers. You need your own copy of the relevant JCT contract. The templates are not produced or endorsed by the JCT.

What software do I need?

Microsoft Excel and Word 2016 or Microsoft 365 (Windows or Mac). The files also open in LibreOffice. Google Sheets opens the workbooks but ignores the sheet protection. There are no macros.

Can I change the templates?

Yes. Sheets are protected with no password, so you can unprotect them, add rows, add your logo and adjust the wording.

Is this legal advice?

No. The templates and notes are practical tools. Periods, clause references and notice requirements are those set by your own contract. The templates do not replace professional advice on specific disputes.

How do I get the files?

Checkout is through Payhip. You get a download link on screen and by email straight after payment.

Can I use them for my whole company?

One purchase licenses one business to use the templates on its own projects. See Licence & Terms.

What if a file won't open?

Email us and we will fix it or refund you.
